How to use the wedding catering calculator
Start with your invited guest count, then enter how many of those guests are children. The calculator treats the remaining invited guests as adult meals. Vendor meals are added separately because photographers, planners, bands, DJs, and videographers may need meals but are not usually counted as invited guests.
Next, add your meal prices and any per-person extras such as cocktail hour appetisers, dessert, late-night snacks, tableware, linens, or rentals. Finally, enter fixed fees, service charge, tax, and a planning buffer so the estimate is closer to a real catering quote.
What should be included in a wedding catering budget?
A catering quote may include more than the main meal. Depending on the caterer and venue, you may also pay for appetisers, bread service, dessert, coffee, staffing, chefs, delivery, setup, cleanup, equipment, tableware, glassware, linens, service charge, and tax.
If your venue bundles catering into a package, use the package price as your adult meal cost and put any extras in the add-on fields. If the venue separates food, staffing, rentals, and service charge, enter those costs separately to see the full impact.
How much does wedding catering cost per guest?
The simplest estimate is:
Catering cost per guest = total catering estimate / invited guests
This calculator includes vendor meals and fixed fees in the total, then divides by invited guests. That makes the per-guest number useful for budget planning, even if some costs do not rise perfectly one guest at a time.
How catering connects to your guest list
Catering is one of the biggest reasons the guest list affects the wedding budget. Ten extra adult guests can add meals, appetisers, dessert, tableware, service charge, tax, and buffer. Use the cost per 10 extra guests output when you are deciding whether to expand the list.
For a deeper guest-list view, compare this with the wedding guest list cost calculator. If drinks are separate from catering, use the wedding alcohol calculator as well.
Ways to reduce wedding catering costs
- Choose a buffet, family-style meal, or food stations instead of a complex plated menu.
- Limit the number of courses or late-night snack options.
- Ask whether rentals, linens, and tableware are included or separate.
- Use seasonal ingredients and fewer premium proteins.
- Confirm the minimum guest count before signing the venue contract.
- Keep vendor meals simple but included in the plan.

FAQ
Do vendor meals count in the catering total?
Yes. Vendor meals can add real cost, especially when you have photographers, planners, entertainment, and video teams on site for many hours. This calculator counts vendor meals separately from invited guests.
Should children be counted at the adult meal price?
Only if your caterer charges the same price for children. Many caterers offer a lower child meal price, so this calculator lets you enter children separately.
Is service charge the same as tax?
No. Service charge is usually a caterer or venue fee. Tax is a government charge. Some quotes apply tax after service charge, which is how this calculator estimates it.
How much buffer should I add?
A 5% to 10% buffer is a sensible starting point for early planning. Use a higher buffer if your quote is not final, guest count is uncertain, or rentals and staffing are not fully confirmed.
Does this calculator replace a caterer quote?
No. Use it as a planning estimate. Always confirm menu pricing, minimums, staffing, rentals, service charge, tax, cancellation rules, and final guest-count deadlines with your caterer or venue.
