Use this wedding venue budget calculator to check whether a venue quote fits your total wedding budget before you pay a deposit.
The venue is often the biggest wedding decision because it can lock in the date, guest count, catering choices, drinks package, staffing, service charges and many required extras. A quote that looks affordable at first can take too much of the total budget once food, drink, tax and contingency are included.

How to know if a wedding venue is affordable
A venue is usually affordable when the venue, catering, drinks, required extras, service charges and contingency still leave enough money for photography, outfits, flowers, entertainment, transport, stationery, ceremony costs and final surprises.
Many couples look only at the venue hire fee. The better question is: what is the full venue-related package after food, drinks, tax, service charges and required add-ons?
Wedding venue budget rule of thumb
Venue, catering and drinks often take the largest share of a wedding budget. A common planning range is around 35-50% of the total budget. If the venue package takes more than half of the budget, you may need to reduce guest count, compare another venue, choose a cheaper date, or simplify other categories.
What to include in a venue quote check
- Venue hire or room rental
- Minimum spend requirements
- Catering per guest
- Drinks package or bar allowance
- Service charges, VAT, sales tax or gratuities
- Tables, chairs, linens, crockery and glassware
- Setup, cleaning, security or staffing fees
- Corkage, cake cutting or overtime fees
- Contingency for final guest count changes
Example: checking a wedding venue quote
Suppose your total wedding budget is £20,000. The venue hire is £4,500, catering is £85 per guest, drinks are £35 per guest, you invite 80 guests, and required extras are £1,200. Before tax and contingency, that package is £15,300. With a 10% service charge and 10% contingency, it becomes much closer to £18,500.
That does not leave much room for photography, outfits, flowers, music, ceremony costs or transport. The calculator helps you see that before signing the venue contract.
What to do if the venue is over budget
- Ask for an off-peak date or weekday quote.
- Reduce guest count before cutting every meaningful detail.
- Compare food and drinks package levels.
- Ask what extras are genuinely required.
- Check whether service charges and taxes are already included.
- Compare a venue with more included against a cheaper bare venue.
- Use the Wedding Budget Calculator to rebalance all categories.

Frequently asked questions
How much of my wedding budget should go to the venue?
Venue, catering and drinks commonly take around 35-50% of the total wedding budget, but the right share depends on what the venue includes.
Should I include catering in the venue budget?
Yes, if catering is tied to the venue or required by the contract. Venue hire alone can understate the true cost of booking that venue.
What is a venue minimum spend?
A minimum spend is the amount you must spend with the venue, often across food and drinks, even if your guest count or choices would otherwise cost less.
Is a cheaper venue always better?
No. A cheaper venue may exclude furniture, staffing, linens, coordination or cleaning. Compare the full package, not just the hire fee.
